The Process of Asset Intake and Tracking at CWI

IT AssetsCWI has developed a proprietary asset tracking, configuration acquisition, and reporting system that is well ahead of industry standards. Named “SMART”, our system integrates all our business practices and workflows into one effectively integrated solution allowing us to manage and report on your assets from the moment they arrive at our facility through their final disposition.

Assets flow through our processes following a predetermined path base on the asset’s type and services required by you. A typical path would include the following processing steps: Receiving, Configuration Acquisition, Data Destruction, Auditing, Reconciliation and Pricing. The following briefly describes each of these steps.

The IT Assets Receiving Process

The Receiving process is designed to associate and track assets to your account from the moment they arrive at our facility. We record receiving details, take pictures of shipping damage and affix a unique Asset Tag to each asset to ensure and maintain the chain of custody. Daily reports and data feeds can be customized to your needs and will automatically be generated and delivered by SMART.

Configuration Acquisition

Configuration Acquisition: To improve efficiency and data accuracy we have implemented automated data acquisition techniques for assets that have interfaces where we can programmatically query the underlying hardware values. For example, through a desktops ethernet port, we can query attributes such as Manufacturer, Model, Serial #, OS, CPU, memory & hard drive configurations, video cards, data ports, etc. These values are automatically sent to our SQL Server database and associated with the Asset Tag applied in Receiving. Data Collection racks were configured which can automatically process thousands of assets simultaneously improving our throughput and data accuracy. Assets that can’t be processed this way are automatically assigned to a certified technician for configuration acquisition.
